How IT can take the lead in Information Governance projects

Instituting a structured information governance (IG) program has evolved from being little more than an interesting
research project to a business critical initiative within many organizations. In fact, there is a groundswell of support building for formalizing the leadership
role of Chief Information Governance Officer (
CIGO) within the corporate hierarchy.

Many resources, including Sherpa’s own white paper series “Building a Corporate Information Governance

” and the EDRM’s reference model for information governance, describe the importance of structuring IG programs around a cross-functional committee. Typically, this committee is chaired by the CIGO (or similar C-level executive) and comprised of representatives from operational business units, legal, risk, security, records management and IT.

It has become increasingly evident, however, that representatives with an information technology background are ideally positioned for the IG leadership role, whether as committee chairman or CIGO. Some advantages that IT candidates bring to the table include:

  • A working knowledge of the business processes within each department. In many cases, IT has collaborated with his or her colleagues in legal, risk, records, etc. to select and implement technology for departmental level projects. This exposure has helped them build working relationships with those teams and gain a functional understanding of the complexities involved with projects such as eDiscovery and/or risk mitigation
  • Familiarity with existing information repositories. While IT may not own all of the corporate data, they very often have a thorough understanding of what type of information is being stored; is it structured or unstructured, if it is structured what database is being used, etc. This knowledge can be a tremendous advantage when starting to assemble the data inventory portion of an IG project
  • An understanding of how existing corporate systems integrate. IT has an eagles-eye view of where corporate information assets are deployed (i.e. on-premises, data centers, hosting partners, etc.), how to access to those various resources and how feasible it is to centrally manage or monitor them. This knowledge is critical when mapping out the implementation phase of an IG project.
